What you'll achieve
You will use My Universe to find assigned tasks, approvals, policy work, calendar items and briefings without losing the organisation context that gives them meaning.
Who this is for
This guide is for an Organisation Collaborator with the permission or assigned action described below. If the navigation or action is missing, check the selected organisation, effective account level, feature state and role before assuming the product is unavailable.
Before you start
Check that you have:
- An active Collaborator allocation.
- The correct organisation selected.
- A role that grants the work you have been assigned.
1. Start in My Universe
Open My Universe. Use the overview to understand what needs attention, then move to the dedicated list rather than acting from a summary alone.
2. Review tasks and deadlines
Open Tasks and Calendar. Check owner, due date and linked record. A task title is not enough context for a governance decision.
Where work is grouped into an epic, open that parent to understand the wider outcome, then update the individual task you are responsible for. Closing one task does not mean the whole epic is complete.
3. Read your briefing
Open Briefing for the ranked digest. Treat it as navigation support: open the source record before changing status or making a decision.
4. Handle approvals
Open Workflow. Read the current state, source record, evidence and requested decision. Approve, reject or request changes only within your authority.
5. Use goals and policies as context
Open Goals and My Policies when a task depends on an outcome or requirement. Link your work to the governed record instead of duplicating the explanation in a private note.
6. Use a short gap productively
Where I've got time is available, choose the time you have and select Find Tasks. Read the suggested task and duration basis, then choose Start Now or Choose to open it. A recommendation helps you find work; it does not change its priority or deadline.
Check it worked
- You can explain why each open item is yours.
- Deadlines and organisation context are correct.
- Completed work is reflected on the source record, not only in your personal list.
If something goes wrong
