What you will achieve
Put discussion and supporting context where colleagues can find it, without confusing a comment or mention with an assignment, approval or formal decision.
Before you start
Open the record the conversation concerns and check its organisation. Decide whether you need a discussion, a durable note or a tracked action. Review who can read that workspace and any visibility choices in the form.
Keep sensitive information in an appropriately controlled document or record. A convenient comment box is not a reason to broaden its audience.
Add a useful comment
- Open the record's discussion or comments surface.
- Read the existing thread so that your reply addresses the right issue.
- Write a concise comment with enough context to be understood later. Separate an observed fact from a question or interpretation.
- Name the person or role you need clearly in the text. The current comment form does not offer a mention picker; do not assume typing
@namecreates a verified mention or sends a notification. - Check the parent context before choosing Post comment. Use Shift+Enter for a new line; Enter submits this form.
- Wait for the saved comment to appear in the thread and reread it.
Use a reply when you are answering a particular comment. Start a new thread when the subject is genuinely different.
Use a note for lasting context
Open Notes on the relevant record and enter the context and source in its add-note form. Review Make public and the accompanying visibility label before selecting Add note. Leave the note private when it is personal working context. Do not interpret that label as permission to publish confidential information or as a grant of access to the parent record.
For information that needs an owner, deadline or approval, create the appropriate task or decision record and refer to it from the discussion. Do not rely on a mention to assign responsibility or on a positive comment to approve a workflow.
If a saved comment or note needs correction, use the supported edit controls when permitted. Make a material correction understandable to readers who may have acted on the earlier text.
Check it worked
The comment or note appears under the correct parent and is understandable without the surrounding chat. Any resulting action has its own owner and tracking record. Check the intended person's access rather than assuming a mention granted it.
If something goes wrong

Human judgement matters
Visibility, notification and authority are different. A message being visible or read does not prove agreement, acceptance or completion.
