For licensed Collaborators with permission for this task. Check the selected organisation; feature availability and record access still apply.
What you will achieve
Process an authorised meeting transcript, review the proposed minutes and publish only the narrative and follow-up work you have checked.
Before you start
Open the correct calendar event and, for a recurring meeting, the intended occurrence. Confirm that recording and processing the transcript are permitted and that its visibility is suitable.
Have the source transcript available for comparison. AI extraction can confuse speakers, proposals and decisions; a fluent summary is not evidence that the meeting agreed it.
Add and process the transcript
- Open the event's meeting-intelligence surface and select Add transcript.
- Supply the required transcript information and review the confidentiality choices.
- Submit and wait for the displayed processing state. If a transcript already exists, inspect it before choosing Replace transcript.
- Use Process transcript when offered and wait for draft minutes to become available.
- If processing fails, inspect the current transcript and error before starting another extraction.
Review the proposed work
Read the executive summary, decisions, action items and discussion timeline against the original transcript. Correct factual errors and distinguish an agreed decision from a suggestion.
Review each proposed artefact before including it for publication. For tasks, check the offered preparation fields, intended owner, context and timing. Where the interface proposes existing records, verify the match rather than creating a duplicate automatically.
Use Save review to preserve edits without treating them as published. Re-extraction is a separate action; inspect its consequences before using it after manual review.
Publish deliberately
Review the selected inclusion set and the button label: Publish narrative differs from publishing a selected number of artefacts. Read the confirmation and publish only the authorised set.
After publication, inspect Published actions. Open the resulting canonical tasks or matched records and confirm they reflect the reviewed meeting output. Publication is not evidence that those tasks have been completed.
Check it worked
The minutes show their actual publication state and the selected work is linked to the correct event and occurrence. Owners and source references are correct, and unselected proposals have not been represented as agreed actions.
If something goes wrong
| Problem | Next action |
|---|---|
| Draft minutes cannot be loaded | Retry the existing record before adding another transcript |
| An inferred decision is wrong | Correct or exclude it before publication |
| A matching record is ambiguous | Resolve the identity manually before linking |
| Publication times out | Inspect minutes and Published actions before trying again |
Human judgement matters
Keep the source, the generated interpretation and the reviewed outcome distinct. Confidentiality settings do not replace permission to process the meeting in the first place.

Ask your Organisation Administrator about access or the task owner about the content. For a platform error, include this guide reference, the affected page and a sanitised message. Never share passwords, session details or confidential evidence in an open support request.
