Schedule and complete an entity review

For licensed Collaborators with permission for this task. Check the selected organisation; feature availability and record access still apply.

What you will achieve

Set a review plan or schedule a review occurrence, record what was checked and complete it with an evidence-based outcome.

Before you start

Open a record that exposes the supported Reviews surface and confirm permission to manage it. This guide does not make a disabled feature or review tab available. The organisation's configured review standard supplies the checklist for the occurrence.

Know why the review is needed, who will carry it out and what evidence is required. Scheduling a review is not performing it.

Plan or schedule

  1. Open Reviews and inspect the current review and history before adding another.
  2. Use Configure plan to maintain the recurring schedule. Review the plan name, cadence, next due date, anticipated duration, reminder interval and active setting.
  3. For a separate future or ad hoc occurrence, use Schedule review.
  4. Enter the title, reason, planned start, due date and anticipated duration. Review the checklist that will be copied into this occurrence.
  5. Save and check the new occurrence or updated plan in the manager.

Carry out the review

Open the intended occurrence with Open review or Continue review. Use Start review when offered, then work through the checklist against real evidence.

Record the checks as you perform them. The checklist is a snapshot for this occurrence, not a live promise that later organisation-standard changes will rewrite it.

When ready, choose Complete review. Select the actual Outcome and write Conclusion and follow-up describing what was checked, limitations and required actions. For a local control-application check, complete the additional tested outcome, checked date and evidence requirements offered by the form.

Do not choose Satisfactory merely because all required fields have been filled. Inconclusive, changes-required or escalation outcomes exist for a reason.

Check it worked

The review shows its saved outcome, completion details and supporting narrative in history. Check the next occurrence or plan separately; completion does not prove future scheduling or follow-up tasks are correct.

If something goes wrong

Problem Next action
Completion is blocked Check required checklist items, narrative and any control-check evidence
The wrong occurrence was opened Close it and select the correct review from history or current work
A planned review is no longer needed Use the supported cancellation flow with a reason, not a false completion
A completed conclusion is wrong Preserve history and ask the owner about a corrective review

Human judgement matters

A completed review means a particular review concluded. It does not automatically approve a policy, remove a risk or establish that all controls work.

What next?

For the wider context, see Use collaboration and personal tools. Create or update the agreed follow-up work and verify the next review timing.
