Manage projects, goals, assets and knowledge

What you'll achieve

You will connect delivery work to outcomes, assets, decisions and shared knowledge so governance evidence follows the real work.

Who this is for

This guide is for an Organisation Collaborator with the permission or assigned action described below. If the navigation or action is missing, check the selected organisation, effective account level, feature state and role before assuming the product is unavailable.

Before you start

Check that you have:

  • An accountable project or goal owner.
  • Known scope, dates and affected assets.
  • A decision about what belongs in shared knowledge.

1. Create the governing outcome

Use Goals when the work serves a measurable outcome. Record owner, key results and review rhythm before linking projects.

2. Manage the project

Open Projects and create or select the project. Record scope, status, dates and links. Use time tracking only for an agreed purpose and keep the meaning of entries clear.

3. Maintain assets

Open Assets and find the canonical asset before creating one. Record owner, lifecycle and relationships; use asset attestations when a scoped person must confirm a fact.

4. Capture knowledge and decisions

Use Knowledge for reusable articles, sourced facts and questions that still need an answer. Give an unanswered question an owner and keep its source context. Use Decisions for the choice, decision-maker, rationale and consequences. Confirm an extracted or AI-suggested fact against its source before treating it as established knowledge.

5. Link rather than duplicate

Connect tasks, risks, controls and evidence to the source project, goal or asset. A link preserves context and change history better than copied text.

Check it worked

  • Project work is linked to an outcome or accountable purpose.
  • Assets and knowledge records are canonical rather than duplicated.
  • Material decisions name the decision-maker, rationale and date.

If something goes wrong

What you see What to do
A similar asset or project exists Check ownership and scope before creating another.
A decision is contested Keep the current decision and evidence visible while the authorised review occurs.
Time entries have no agreed use Stop collecting them until purpose and access are clear.

Human judgement, security and privacy

Connected records improve traceability but can broaden visibility. Check the audience of every linked record and avoid unnecessary personal or confidential detail.

What's next

Review links at the next project or goal check-in and archive superseded knowledge through its governed lifecycle.
