Create a company group and invite member organisations

For licensed Collaborators with permission for this task. Check the selected organisation; feature availability and record access still apply.

What you will achieve

Create a company group owned by the correct organisation, invite a member-firm contact and verify which organisation joins.

Before you start

Agree the group's purpose, owner and intended membership. You need the appropriate company-group permissions in the owner organisation. A group is not an alternative to inviting individual users into your own organisation.

Confirm the recipient's contact details through a trusted route. Group participation and information sharing require authority on both sides.

Create and invite

  1. Select the organisation that should own the group.
  2. Open Company groups > My Groups and choose Create group.
  3. Enter a clear Name and optional Description explaining the purpose, then select Create group.
  4. Open the saved group and verify its owner context.
  5. Open the invitation action to display Invite firm to group.
  6. Enter the intended person's email in Send invitation to and add a useful personal message if needed.
  7. Review the recipient and group name, then select Send invitation once.
  8. Inspect the invitation list and its resulting status.

The current invitation is person-first. The recipient chooses which organisation they are accepting on behalf of; sending an email does not by itself identify or admit the correct member firm.

Confirm multi-organisation acceptance

Review Pending confirmations when a recipient's organisation choice needs confirmation. Compare the chosen firm, accepting user and trust signals with the firm you intended to invite.

Use Confirm only when the organisation is correct. If it is wrong, inspect the consequences before Reject: the interface explains that rejection reverses that membership and hides data shared through it. Coordinate correction and any re-invitation with the recipient.

For an existing pending invitation, use its supported resend or cancel action instead of repeatedly creating new invitations.

Check it worked

The group appears under the intended owner. The invitation status and member roster agree, and any required inviter confirmation has been resolved. Check the exact member organisation, not just the accepting person's name.

If something goes wrong

Problem Next action
Invitation is already pending Inspect it and use its supported resend or cancel controls
Recipient selected the wrong firm Resolve the pending confirmation before relying on membership
Similar group names exist Verify the owner and exact group reference
Sending times out Check the invitation list before sending again

Human judgement matters

Joining a network is not blanket consent to disclose every record. Configure and review each sharing relationship through its own controls.
