What you will achieve
Make responsibility visible on a governed record and maintain assignments without treating a suggested name or a group membership as an approved decision.
Before you start
Open the correct parent record and confirm authority to change its RACI. Agree who is accountable for the result and who performs the work. Check that proposed people, roles, teams or audiences belong to the intended organisational context.
RACI distinguishes Responsible for doing work, Accountable for the outcome, Consulted for input and Informed for relevant updates. These labels do not replace a licence or the platform's permission checks.
Set up and assign
- Open the record's RACI surface and inspect the current assignments.
- If none exist and you have edit access, select Set up RACI.
- For each relevant responsibility, use its assignment selector to search the offered people, roles, audiences or teams.
- Check the selected subject carefully. Assigning an audience or team is different from selecting one person with a similar name.
- Review the Accountable assignment explicitly. Where the record uses sectioned RACI, inspect both the overall accountability and each section's responsibilities.
- If additional sections are needed and supported, select Add section, give it a meaningful name and description, then Create section.
- Wait for each saved change to complete and inspect the result before making another.
For a large sectioned record, use My involvement or Assignment gaps to focus the review. Clear filters when checking the whole allocation of responsibility.
Maintain the assignments
Review suggested assignments before accepting or dismissing them. A pending suggestion is not an agreed responsibility.
When changing an assignment, coordinate the handover with the affected people. If a save conflicts with another edit, use Reload latest RACI and reconcile the latest state. Do not overwrite someone else's changes blindly.
Undo last change, when offered, is a further saved change, not a guarantee that every previous state can be restored.
Check it worked
The saved RACI names the intended subjects in the correct roles and sections. People understand their responsibilities and can access the relevant work. Check ownership displays where they are derived from accountability.
If something goes wrong
| Problem | Next action |
|---|---|
| A person or group is missing | Check membership and context before choosing a substitute |
| Saving reports a conflict | Reload and reconcile the current revision |
| Accountability is unclear | Resolve the governance decision before assigning names |
| A former colleague remains assigned | Arrange an explicit handover and update affected records |
Human judgement matters
Responsibility should reflect an agreed operating arrangement. Do not assign accountability merely to remove a warning or assume that a mention is consent.
