What you will achieve
Ask a clear question in the right business context, record an attributable answer and preserve the evidence and reasoning that make it useful later.
Before you start
Open the relevant record's Knowledge workspace. Decide what you need to know and who is best placed to answer. Check the visibility of the parent record and of the question itself.
A knowledge question asks for information. It is not a substitute for a formal approval, decision request or assigned task.
Ask the question
- Use the dedicated question action to open Ask a Question.
- Write a specific Question with enough context to answer it. Avoid combining several unrelated questions into one.
- Use Direct Question To (Optional) when a particular person should respond.
- Review the urgency and Visibility.
- Check the parent context and select Post Question.
- Open the saved question. Where authorised, use Edit to maintain supporting context, due date or answer criteria offered by the detailed form.
Not directing a question to someone does not make it private. The creation form explains that it is visible to people who can access the parent, subject to the chosen visibility and permissions.
Record an answer
Read the question, its context and any criteria for a useful answer. Write the response in Add an answer, using evidence rather than speculation.
Use the optional explanation of why the answer matters when reasoning or consequences would help. Select Post answer, then read the saved answer, attribution and date.
Use the evidence controls to maintain permitted supporting references. Distinguish the source's statement from your interpretation. A copied link is only useful if its intended readers may access it.
Keep it useful
If the question needs clarification, make the supported edit deliberately and check the history. Do not silently reinterpret an existing answer as resolving a materially different question.
Use Share only for a permitted recipient. Copying the record link does not grant them access or change its visibility.
Check it worked
The question appears under the correct parent, its recipient and urgency are correct, and the saved answer is attributable. The evidence and reasoning explain the answer sufficiently for another authorised reader.
If something goes wrong
| Problem | Next action |
|---|---|
| Recipient is unavailable | Check the intended identity and membership |
| Answer cannot be saved | Read the validation or permission error before retrying |
| Evidence is restricted | Share a permitted reference, not an unauthorised copy |
| The answer is disputed or stale | Clarify through the supported record and preserve the evidence trail |
Human judgement matters
An answered status means an answer was recorded. It does not make the statement independently verified or an approved organisational decision.
What next?
For the wider context, see Manage projects, goals, assets and knowledge. Create any resulting task or decision in its proper workflow and link it back to the question.
