What you'll achieve
You'll ask the people who use an asset how it is working for them, review the responses, and turn useful feedback into owned follow-up work.
Who this is for
This guide is for an Organisation Collaborator with the permission or assigned action described below. If the navigation or action is missing, check the selected organisation, effective account level, feature state and role before assuming the product is unavailable.
Before you start
Check that you have:
- An asset record and permission to manage its feedback.
- An agreed audience and reason for the check-in.
- A clear explanation of attribution and who will act on the feedback.
1. Open the asset's feedback
Find the asset and choose Feedback & Effectiveness. Review the current policy, recent cycles, response rate and effectiveness information before creating another cycle.
2. Configure the feedback policy
Choose Configure feedback or Configure in the Feedback policy panel. Set Enable feedback for this asset, Audience source, Feedback type, Cadence and Schedule mode. Select the dimensions people can usefully rate. Review Default responses to anonymous and whether a decline needs a reason, then choose Save policy.
3. Check the audience before starting
Confirm that the records behind the selected audience source are current. The audience is resolved when the cycle opens. Explain why people are being asked, who sees the response and how follow-up will work.
4. Start a one-off cycle
Choose Run cycle now, enter a useful Cycle name, choose the Cycle type and review the audience description. Choose Start cycle once. Reopen the cycle and confirm that its state, audience and timing match the request.
5. Review the responses
Use Recent responses, Dimension scores, Effectiveness trend and the Cycles list. Open a cycle with View for its detail. Read response rate alongside scores: a high score from a small group does not necessarily represent everyone. Respect anonymous presentation and avoid trying to identify a respondent from their wording.
6. Close and follow up
When the response window should end, use Close cycle. This stops new responses. Record useful actions in the asset's task or decision workspace with an owner and date, then tell participants what will happen next.
Check it worked
- The saved policy reflects the intended audience and attribution.
- The new cycle appears once with the expected open state.
- Participants can reach their request through My Universe > Attestations.
- Closed cycles and follow-up work remain discoverable.
If something goes wrong
| What you see | What to do |
|---|---|
| The audience is wrong | Close the cycle if necessary, correct its source records and plan a new cycle with the right audience. |
| Few people responded | Check the audience and response window before drawing a conclusion from the score. |
| A response describes an urgent incident | Use the incident/support process immediately; feedback cycles are not an emergency channel. |
| An anonymous response lacks a name | That is the intended presentation. Act on the issue without attempting to identify the person. |
Human judgement, security and privacy
Feedback is a view of people's experience, not an employee performance measure or a technical health test. Combine it with operational evidence and show people how their contribution helped.
What's next
Share GUIDE-PAR-003 with respondents, review the follow-up actions and choose a sensible next check-in date.
