Review organisation join requests

For Organisation Administrators with authority for this task. Check the selected organisation before making a change.

What you will achieve

Decide whether a person requesting entry should join your organisation, then verify the resulting membership separately from their role and licence.

Before you start

You need Organisation Administrator access and authority to admit the person. Have an independent way to verify the request, such as your staff directory or the person's manager. An email-domain match is context, not sufficient proof of employment or approval.

Check the organisation before opening the queue. Similar organisation names can make a correct decision in the wrong workspace particularly difficult to spot.

Review the request

  1. Open Settings > Organisation > Membership > Requests.
  2. Start with Pending. Review the person's identity, request timing and displayed match explanation.
  3. Compare the request with your authorised joiner or membership decision. Resolve unexpected names and ambiguous external relationships outside the queue before acting.
  4. Select Approve only when admission is authorised. Read the confirmation and submit once.
  5. Select Decline when the request should not be accepted. Check the person's identity again in the confirmation before proceeding.
  6. Use the Approved or Declined filter to find the resulting record.
  7. For an approval, open Members and check the person is present. Review their permitted role and licence allocation through the relevant membership and licensing controls.

Approving a request is not the same as purchasing a seat or granting every organisational permission. Make those decisions deliberately.

Check it worked

The request is no longer pending and its result agrees with the membership list. An approved person should be able to select the intended organisation using their own identity. Verify the access they actually need rather than testing only as an administrator.

If something goes wrong

Problem Next action
The request changed while you reviewed it Refresh; another administrator or the requester may have acted
A colleague cannot see their request Check identity and organisation; do not assume every acknowledgement creates a pending queue item
Approval succeeds but a task remains unavailable Check account level, feature availability and permissions separately
You approved the wrong person Follow the member offboarding process promptly and record the incident

Human judgement matters

Membership approval changes who may access organisational information. Keep the verification basis in your approved administrative record without copying identity documents into unnecessary places.

What next?

For the wider context, see Manage members, roles and access. Confirm the member's role, audience membership and any required paid-seat allocation.

Ask your Organisation Administrator about access or the task owner about the content. For a platform error, include this guide reference, the affected page and a sanitised message. Never share passwords, session details or confidential evidence in an open support request.
