Record and renew a credential

For licensed Collaborators with permission for this task. Check the selected organisation; feature availability and record access still apply.

What you will achieve

Record a credential held by the organisation, identify its exact scope and keep its renewal evidence current.

This task covers organisation credentials. Personal qualifications and memberships have their own catalogue areas and should not be recorded as if they cover the whole organisation.

Before you start

Have the certificate/report, issuer, identifier, covered legal entity, assured scope and validity dates. Confirm who owns renewal and which sharing uses are approved.

A platform-reviewed catalogue definition verifies the definition's review state, not that your organisation holds a valid credential.

Add the credential

  1. Open Compliance > Credentials > Organisation and select Add credential.
  2. Search Find a credential definition and choose the exact scheme or accreditation.
  3. If it is missing, review duplicate suggestions before proposing an organisation-declared draft definition. Do not present that draft as platform-reviewed.
  4. In the organisation record, check Record type, credential identifier and Legal entity covered.
  5. Set Renewal owner, Issued on, Expires on where required, and the supported record status.
  6. Enter Certified or assured scope accurately, including exclusions and covered services or locations.
  7. Review verification details and permitted uses, then select Add credential.
  8. Reopen the record to maintain jurisdictions and inspect the saved evidence information.

Review and renew

Before expiry, obtain the actual renewal evidence. Compare the new scope, identifier, issuer and dates with the old record.

Use the credential editor and Save changes for a justified update to the same organisational credential. Where the new document represents a different scheme or scope that requires a distinct record, record it separately and retain the earlier evidence through your approved recordkeeping process.

Do not extend an expiry date merely because renewal is expected.

Check it worked

Reload the credential and inspect validity, scope, owner and verification details. Check Available for The.Backstory.Is, Available to compliance packs and Available as assurance evidence separately. Eligibility permits a use; it does not itself publish a Supplier Hub profile or disclose the record to a requester.

Human judgement matters

A credential's title is not its scope. Preserve limitations, qualifications and the difference between self-declared and independently assured evidence.
