Monitor supplier policy changes

What you will achieve

Review monitored supplier policies, identify meaningful changes and decide what your organisation needs to do.

Monitoring shows captured evidence and scan status. It is not a guarantee that every supplier document or every change has been discovered.

Before you start

Confirm the supplier relationship and which documents matter, such as privacy, security or service terms. Know who can assess contractual, privacy or operational implications.

Inspect monitoring coverage

  1. Open the supplier relationship and Compliance > Policies.
  2. Read the scanning status and Last scanned information. Distinguish successfully scanned, partial, blocked and failed states.
  3. Review Monitored Policies. Check policy type and source identity, not just the title.
  4. If an important policy is missing and Suggest Policy is offered, provide the correct source through that supported route.
  5. Open a policy and review its latest captured version and source link.

A failed or blocked scan means the absence of a detected change is inconclusive.

Review a change

Use the version history to open the relevant versions. Read the captured content and any change summary against the original source. The version comparison/analysis may be processed asynchronously; an unfinished analysis is not a “no change” conclusion.

Identify what changed, its apparent effective date and whether it affects your organisation's service, data processing or obligations. Record a task, risk or review on the supplier relationship for a material issue, with the relevant source/version reference.

A rescan, where offered and authorised, requests new monitoring work. Wait for the result and inspect its status rather than repeatedly clicking while it runs.

Check it worked

Reopen the policy and confirm the selected version, capture/scan date and source. Check that follow-up work points to the exact change reviewed and has an owner.

If no action is needed, retain a proportionate explanation in the relationship's review or notes rather than assuming silence conveys the decision.

If something goes wrong

Source cannot be scanned Review the supplier's original site through an approved route and report the monitoring limitation
Document is misclassified Use available correction/suggestion controls or report the exact policy record
Summary conflicts with source Rely on the source and escalate the analysis error
A source URL moves Check the new authoritative location before suggesting a replacement

Human judgement matters

Do not bypass a supplier's access controls to obtain a document. Automated change detection does not determine whether a term is acceptable or legally effective.
