Create and maintain an audience

For Organisation Administrators: licensed Collaborators with the relevant organisation-wide permissions.

What you will achieve

Create a reusable group of people for a shared purpose, such as a policy's intended readership. An audience groups members; it does not grant platform permissions or allocate licences.

Before you start

Confirm the organisation and your authority to manage audiences. Have an agreed membership list, a clear purpose and someone responsible for keeping it current. People must already be members of the organisation before you can add them.

Decide whether this group really needs to be reusable. A clear name such as “Northstar Works office managers” is more useful than “Group 4”.

Create and populate the audience

  1. Open Settings > Organisation > Membership > Audiences.
  2. Search or review the existing list to avoid creating another audience for the same purpose.
  3. Select Create Audience, or Create First Audience if the list is empty.
  4. Enter the audience name and a description explaining who belongs and why. Select Create Audience.
  5. Open the audience's action menu and choose Manage members.
  6. Use the member picker to select an existing organisation member. Add the intended people one at a time, checking the resulting list rather than relying on a similar name.
  7. Compare the complete list with the agreed membership. Check both omissions and people included by mistake.

Check it worked

Leave the audience, reopen it and read the member list again. Confirm the count and the identities, not just the audience name.

When using the audience in another task, inspect that task's recipient or assignment preview before sending. A saved audience is not evidence that a campaign has been issued, or that an already-issued campaign has updated its recipients.

Keep membership current

Use Edit audience to change its name or purpose and Update Audience to save. Use Manage members to add joiners or remove people who no longer belong.

Remove member removes the person from this audience. It is different from removing their organisation membership. After a change, check downstream work separately: an existing assignment may have its own lifecycle.

Before Delete audience, identify policies, campaigns or other work that refer to it. Obtain approval and arrange replacements. Do not assume deletion recalls notifications or removes existing obligations.

Human judgement matters

Audience membership can expose a person's organisational responsibilities. Keep descriptions appropriate for their readers. Avoid using a broad audience when the work or evidence is sensitive.
